A stocktaking app records the actual stock — what is really on the shop floor — and compares it with the book stock from your stock control system. It replaces count slips and tally marks, produces a discrepancy list and hands the checked figures back to your till system as a file.
The difference from the stock control system gets mixed up often, but it is simple: your stock control system holds the book stock. It knows what was bought in and what was sold, and works out from that what ought to be there. The stocktaking app records the actual stock: what really is there. Only the comparison of the two figures makes a stocktake.
So an app does not replace your stock control system. It supplies it with the one figure the system cannot know by itself.
If one of those four is missing, the stocktake becomes a problem later — at the latest when somebody wants to follow how a figure came about.
The app is rarely what makes the difference. What decides it is how the goods are recorded. With a barcode you pick up every piece: one grab, one scan, one beep. With RFID you walk past a rail and it is counted — around 700 pieces a minute, with no line of sight.
Anyone looking for a stocktaking app is really looking for less counting time. The app interface has almost no bearing on that. The difference comes from the recording technology behind it.

The barcode rate is a figure from practice and depends heavily on how easy the labels are to reach. The RFID rate refers to an ordinary commercial UHF handheld.
Roughly, then, the arithmetic works out like this: barcode is cheaper to start with and dearer in use, because every count costs staff hours. RFID is dearer to start with and almost free in use. The piece count at which that turns over depends on how often you want to count — not on how big your shop is.
For barcodes yes, for RFID no. The camera in a modern smartphone recognises barcodes reliably. But practically no phone has a UHF RFID reader built in — the NFC module works on a different frequency, reaches a few centimetres and only ever reads one label at a time.
The mistake is understandable: almost every smartphone does NFC, and NFC is technically a special form of RFID. Just the wrong one. NFC works in the HF band at 13.56 MHz and is built for communication between exactly two devices — a phone and a payment terminal, say. For a stocktake you need the opposite: hundreds of labels at once, across several metres.
Only UHF RFID in the 865 to 868 MHz band manages that, and it needs a device with the matching reader module. There are clip-on modules that retrofit a smartphone. In practice a rugged handheld is usually the better choice in a shop: it sits better in the hand, it has a pistol grip, and its battery lasts a whole counting day.
These are the points that decide in daily use whether an app gets used or disappears again after the second stocktake.
The stockroom is in the cellar, the carton racking sits behind a thick old wall, the extension never got Wi-Fi. That is exactly where the goods you have to count are. An app that asks the server on every scan hangs at those spots — and it hangs in the middle of the count, when breaking off costs the most.
Usable apps therefore record locally on the device and sync as soon as there is a connection again. Ask about it plainly in the sales conversation: what happens when the Wi-Fi drops out in the middle of the count? The answer separates the specialist solutions from the improvised ones.
The second point from the same family: battery life. A counting round takes one to two hours, but before that the device may have sat in a drawer for weeks. Devices that turn out to be flat delay every stocktake by a charging time.
Barcode or RFID, it is always the same five steps. Once you know them you spot quickly in a sales conversation which of them a solution is missing.
The current stock is exported from the stock control system, usually as CSV or Excel, and loaded into the app. Without this step you do count, but you do not know what against. Make sure the export is produced immediately before the count — a figure two weeks old creates discrepancies that are not discrepancies at all.
Shop floor, stockroom, window, fitting room, goods at the tailor. Set a fixed order beforehand and walk it the same way every time, and you spare yourself the most common source of error: the forgotten area whose goods later count as shrinkage.
With a barcode every piece is scanned; with RFID you walk past the rails. The app should show live what has already been recorded — not because it looks nice, but so that you notice when a whole area is missing.
Now comes the step that decides the quality. The app shows where book stock and actual stock diverge. You work through that list: sold and not posted, a return never booked in, goods with a customer, a damaged label, shrinkage. Only after that do you correct — post the correction straight away and you lose half the explanations.
The checked figures go back into the stock control system as a file. The count list, the discrepancy list and the log stay as evidence. The obligation to record stock comes from the EU Accounting Directive 2013/34/EU, which every member state has transposed into its own law; how long you have to keep these papers is set by national law, so settle that with your accountant.

Dozens of till systems are in use in fashion retail, many of them older than the smartphone in your pocket. A real interface would have to be built for each one separately and then maintained. That is precisely what drives prices into regions an owner-run shop cannot justify.
A file, by contrast, can be read in by any system. Watch for three things:

The range is wide because very different things are sold under the name stocktaking app — from a count list with a camera scanner through to full stock control. The honest calculation is not made over the software but over the staff hours: two people counting for a weekend cost around €640 at an employer cost of €20 an hour — every year. That is the figure every solution has to be measured against.

Yes, that is one of the most important requirements. In stockrooms, cellars and behind thick old walls the Wi-Fi is often gone. A usable stocktaking app keeps recording and syncs as soon as there is a connection again. Apps that ask the server on every scan are unusable in a shop.
It depends on what your till system supports while you count. Many systems have a stocktaking module that works with a handheld scanner plugged into it — that is functional, but you still count piece by piece. An app changes nothing about that. What does change something is the recording method behind it.

Accounting law does not prescribe a particular tool. The EU Accounting Directive 2013/34/EU requires the annual accounts to state assets accurately; what matters is that the record of stock is complete and correct and that a knowledgeable third party can follow it. In practice that means the app has to document when the count happened, by whom, and how each discrepancy was dealt with. Which requirements apply in your case is set by national law — settle that with your accountant.
