In an RFID stocktake every article carries a radio label in addition to its barcode. A handheld reader then records around 700 items a minute — with no line of sight, and through cardboard boxes. A shop with 4,000 items is counted in full in one to two hours instead of over a weekend.
A barcode has to be seen. Someone picks the item up, turns the label towards the scanner, waits for the beep, puts it back. At 4,000 items that is 4,000 separate handlings.
An RFID label transmits. The handheld records everything within several metres, all at once, with no line of sight and through cardboard boxes. You walk past a rail and you have counted it. Around 700 items a minute.
The real gain lies elsewhere. Because a count now takes one to two hours rather than a weekend, you no longer count once a year but whenever you like. Shop owners who switch to RFID typically end up counting every four to six weeks — not because they have to, but because it fits alongside the day's work.
Search for RFID stocktaking and you often land on solutions for equipment, IT assets and fixed assets — servers, tools, machinery. That is a different subject with different requirements. Every item hanging in the shop today needs an RFID label once, linked to its barcode. With practice one person manages 200 to 300 items an hour. At 4,000 items that is around 16 working hours, so two people for one day. It is the only substantial effort in the whole project — and it happens exactly once.
We say this plainly, because it is the point vendors tend to keep quiet about. The walk-through afterwards takes an hour. Getting to that point takes two days. If you know that beforehand, you plan for it and it does not annoy you.
The RFID printer stands on a table with the labels beside it. One person picks up an item, scans the existing barcode, the printer issues the matching label, and it goes on the hang tag or into the seam. Done. The whole operation takes a few seconds per item — what eats the time is not the technology but the handling.
Our own projection, based on 250 items tagged per person per hour, not a study. How fast it goes for you depends on the range and the type of hang tag — shoe boxes go faster than blouses with a sewn-in label. Label prices are net, excluding VAT.
After the walk-through the app shows three lists: found, missing, found unexpectedly. By hand you check only the discrepancy list — perhaps 40 lines instead of 4,000 items. That is the second saving of time, and the one people rarely talk about.
A stocktake is not finished when the counting is done. It is finished when the differences have been explained. With a manual count that often means going through everything again, because nobody knows where the error is hiding. With RFID you get a short list instead and work through it deliberately.

Before you hand the figures over, a spot check is worth the effort: you pick ten to twenty articles the system reports as present and check them by hand. If everything matches, you can trust the overall result. If it does not, you find the error now rather than in three months when you reorder.
It takes a few minutes. It is the step that turns a count into a stocktake you can stand behind — and the point at which you can document, verifiably, how you arrived at your figures.
In clothing retail, stock accuracy without RFID typically runs at 65 to 75 per cent, and with RFID at 93 to 99 per cent. At 4,000 items carried, that difference means roughly 100 incorrect lines instead of around 1,200.
These figures come from a study of ten retail companies carried out for the ECR Shrinkage & OSA Group and GS1 UK in 2018. They are the real reason large chains have been working with RFID for more than ten years — not the counting time saved.

A manual count is not free; it simply never appears on an invoice. Two people counting for a weekend cost around 640 euro at 20 euro of employer cost per hour — every year, and that is before the day the shop stays shut.
Redo the sum with your own hourly rate. The table assumes 20 euro of employer cost per hour, that is wages plus on-costs for a part-time assistant. Put your own figure in — the ratio stays the same.

On top of that comes what no table shows: a count that costs a weekend gets done once a year. Between two stocktakes the stock figures drift apart, and you spend eleven months working with numbers you do not trust yourself. That is exactly what changes when a count takes only an hour.

According to the trade press, an owner-managed fashion store in Germany invested around 20,000 euro in an RFID solution in 2026 and reports that it paid for itself faster than expected. That is the order of magnitude this market is used to — and the reason small shops have stayed out of it so far.

The finished stock list is exported as a CSV or Excel file and imported into your existing till system. There is no coupling, no programming and no interference with your master data. Your till system stays exactly as it is.
We decided against a deep integration on purpose. Fashion retail runs on dozens of different till systems, many of them older than the smartphone in your pocket. A real interface would have to be built and maintained for each one separately — and that is exactly what drives the price up at other vendors.
A file, by contrast, can be read by any system. You get a list with article number, description, counted quantity and the difference from the expected stock figure. You download that file on the till computer and import it wherever your system expects a stock reconciliation.
If you run a web shop, the same stock figures can be passed on to it. Then what is shown online is what actually hangs in the shop — without the safety buffer most small retailers keep in order to avoid cancellations.
None of them is serious and all are avoidable. We go through them during the training, but it helps to have read them beforehand.
The handheld can be set higher than it needs to be. It then also reads stock in the next room, in the window display or in the neighbouring unit behind a partition wall. The result is items counted as present that are not on your floor at all. For a stocktake, less power is almost always better.
Metal shelving, steel clothes rails and large mirrors deflect the field. In practice that means walking more slowly and deliberately holding the reader to the rail from the other side as well. A second short pass costs five minutes and closes most of the gaps.
Fitting rooms, window mannequins, the box behind the till, garments away with the tailor for alterations. Work out a fixed order once and walk it the same way every time. That is the single most effective trick there is.
When many tags lie flat and tightly packed on each other, for example in a full box of T-shirts, one is occasionally masked. Fanning the box out once, or reading it from two sides, solves that.
For your own audit trail — and in case anyone asks — there should be a record of when the count took place and who did it. The app logs that automatically; all you have to remember is to close the count off properly instead of leaving it open.

No. Because the walk-through takes only one to two hours and nobody has to pick anything up, you can count during opening hours. A quiet period is sensible, a weekday morning for instance. Only when a lot of customers are carrying stock around at the same time is it worth waiting — otherwise those items end up on the discrepancy list.
Once per financial year satisfies the accounting rules in most EU member states. Counting far more often makes sense: anyone who counts every four to six weeks spots shrinkage early, reorders on a reliable basis and has nothing left to sort out at the year end. That only becomes possible once a count costs an hour instead of a weekend.
It shows up on the discrepancy list, because at the moment of the walk-through it was not in the expected place. That is not a fault of the system but a snapshot in time. In practice you go through the fitting rooms and the till area again briefly at the end, and it resolves itself.
A small proportion of labels is unreadable from the factory or after mechanical stress. Good RFID printers therefore verify every label immediately after encoding it. If an item still goes undetected, it appears on the discrepancy list as missing — you find it when you recount, put a new label on it and link it again.
No accounting rule in the EU prescribes a particular counting method. National accounting law across the member states rests on the EU Accounting Directive 2013/34/EU, and what it requires is that the stocktake is complete, correct and verifiable by a knowledgeable third party. That is why the count log, the discrepancy list and the sample check belong in the documentation.
